Privacy Policy

1. Introduction

ParishOne is a church membership and family directory platform that helps participating churches manage parish information and serve their families. The mobile experience is intended for authorized Primary Members and Associate Members. The web administration application is intended for authorized Super Admin and Church Admin users.

This Privacy Policy explains how ParishOne collects, uses, discloses, protects, and retains information when you use the ParishOne website, web application, and mobile applications.

2. Information We Collect

Depending on the features used by a participating church, ParishOne may process names, email addresses, telephone numbers, mailing addresses, family and household information, church membership information, family pictures, event-related information, account roles, and other information submitted by authorized users or Church Administrators.

We may also process limited technical information needed to operate and secure the service, such as login activity, device and browser information, IP address when available, session information, and diagnostic records.

3. How We Use Information

ParishOne uses information to:

  • Provide church membership, household, family directory, event, login, and communication features.
  • Authenticate users, maintain secure sessions, and prevent unauthorized access.
  • Support participating churches and respond to service or privacy questions.
  • Maintain, troubleshoot, secure, and improve ParishOne.
  • Meet applicable legal, regulatory, and contractual obligations.

ParishOne does not sell users' personal information.

4. Church Administrator Responsibility

Participating churches and their authorized Church Administrators are responsible for determining what church and family information is entered into ParishOne and for maintaining its accuracy. They are also responsible for granting appropriate access and using the information consistently with their obligations to members and applicable law.

Members should contact their Church Administrator to request corrections to church membership, household, or family information.

5. Family and Child Information

Family and household records may include children's names, relationships, birth dates, pictures, or other information supplied by an authorized Church Administrator or family member. ParishOne is not designed for children to independently create accounts or submit personal information. Participating churches and authorized adults are responsible for determining what child or minor information is appropriate to record and display.

A parent, guardian, or authorized family representative may contact the applicable Church Administrator to request review, correction, or removal of a minor's information, subject to applicable retention duties.

6. Email PIN Login

ParishOne may use email-based PIN authentication for member access. A temporary PIN is sent to the email address associated with an eligible membership record. PINs expire and should not be shared. ParishOne may process login and verification records to authenticate users, protect accounts, and investigate misuse.

7. How We Share Information

ParishOne may make membership information available to the participating church and authorized users of that church according to their roles and the church's settings. ParishOne may also share information with trusted service providers that support hosting, databases, email delivery, file storage, analytics when configured, security, and application distribution. These providers receive information only as needed to perform services for ParishOne.

Information may also be disclosed when required by law, to respond to valid legal process, or to protect the rights, safety, and security of ParishOne, participating churches, and users.

8. Data Security

ParishOne uses administrative, technical, and organizational safeguards designed to protect information, including authentication, role-based access controls, tenant isolation, encrypted network connections, and restricted administrative access. No system or method of transmission is completely secure, so absolute security cannot be guaranteed.

9. Data Retention

ParishOne retains information for as long as reasonably necessary to provide the service, maintain church records, secure the platform, resolve disputes, satisfy contractual requirements, and comply with applicable law. Retention periods may vary by data type, church instructions, account status, backup schedules, and legal obligations. Information may remain in protected backups for a limited period after removal from the active service.

10. Your Choices and Corrections

Authorized users may update certain profile or family information through available ParishOne features. For other corrections, access questions, or membership changes, contact your Church Administrator. You may also contact ParishOne regarding privacy questions or requests. We may need to verify your identity and coordinate with the participating church before completing a request.

11. Third-Party Services

ParishOne may rely on service providers such as Supabase for authentication and database services, Netlify for web hosting and delivery, Resend for transactional email delivery, and Apple App Store and Google Play for mobile application distribution. Each provider processes information under its own terms and privacy practices. Additional trusted providers may be used as ParishOne evolves.

12. Changes to This Policy

ParishOne may update this Privacy Policy as the service, legal requirements, or privacy practices change. The revised policy will be posted on this page with an updated effective date. Material changes may also be communicated through the service when appropriate.
